Working with Children (WWC) checks
Keeping children safe is a shared responsibility at Federation University. Whether children are studying, attending childcare, participating in swimming lessons, or visiting our campuses, we are committed to maintaining strong child-safe practices.
A valid Working with Children (WWC) check is required for all staff, contractors, and volunteers.
This page explains the requirements, deadlines, and how to complete your check.
✅ All staff (regardless of position, function, or area of work)
✅ Contractors engaged in work on behalf of the University
✅ Volunteers
⚠️ Volunteer WWC checks cannot be used for paid employment.
📌 A WWC check is required unless an exemption applies under Victorian legislation.
For example, employees registered under the Victorian Institute of Teaching Act 2001 are exempt, as VIT registration includes an equivalent screening check.
✅ Current employees:
➡️ The University will reimburse the cost of your first WWC check
📌 Reimbursement can be claimed through Concur and charged to your Institute/School/Directorate/Centre account.
⚠️ subsequent renewals or new applications: Paid by the individual
✅ New employees: Responsible for the cost of their own WWC check
✅ Contractors: Responsible for the cost of their own WWC check
✅ Volunteers: WWC checks and renewals are free of charge
⚠️ Volunteer WWC checks cannot be used for paid employment.
1. Apply for a WWC check (if required)
If you don’t already have a WWC check, or need to renew:
✅ Visit www.workingwithchildren.vic.gov.au
➡️ Use pc@federation.edu.au when nominating Federation as your employer
2. Upload your WWC check to Workday
✅ Use the Add Certification task
✅ Enter the expiry date
➡️ Your people leader will review and approve it, and it will be added to your staff profile
